Remote Online Notary FAQ

Here we answer some simple questions about RON and the process in your state.

Remote Online Notarization (”RON”) is a new, technology-driven notarial process that allows the signer to appear before the notary over a live audio-video feed when executing digital documents. Our on deck team of professionals will provide our customers with a clear understanding of what document is being signed and why it is needed so that ensuring a worry-free closing experience from anywhere in the world.

eOnline Notary (RON) is a new, technology-driven notarial process that allows the signer to show up before the notary over a live audio-video feed when executing these new digital documents. Here are the 5 Main steps of a RON:

RON Vetting Requirements | Signers must be able to verify minimum personal information and personal device vetting requirements to perform  a RON session.

Identity Verification | Using the latest identity verification technologies, the signer will take a knowledge-based identity quiz and submit ID for review.

Audio-Video Conference | The notary and signer talk over webcam in real-time and observe the necessary digital signatures and seals being added to the digital documents.

Tamper-Resistant Sealed Documents | The notary adds a tamper-seal to date/time-stamp the notarized documents. The signer downloads a PDF of the completed, digitally signed and digitally notarized document.

Full Audit Trail and Notary Records | Like with traditional notarizations, the notary keeps a journal and logging the basic details of the notarization.

If you want to become a  remote Notary, take the following steps as well as visit the Secretary of State website.

  • Hold either an existing commission as a traditional Notary, civil law Notary or commissioner of deeds.
  • Complete a RON training course and pass the exam.
  • Get a surety bond and a E&O approved insurance policy. Check with the Florida Secretary of State for amount requirements.
  • Choose a state-approved RON technology provider. Make sure you already have a digital certificate, an electronic seal and an electronic journal compatible with their system. Some providers may already include these items.
  • Mail your completed registration form to the Florida Department of State. You must include your certificate of completion for the RON training, proof of your surety bond and E&O insurance policy, the RON service provider of your choice, and payment for the registration fee. Starting on January 1, 2022, you’ll also need to include your commission or appointment number with your registration.

Nowadays many Notaries wonder how they can apply to provide remote online notarization or so called (RON) Notary. Your state’s Notary regulating officials will have a specific authorization process based all around the documentation needed to comply with your local state Notary laws.

A RON experience contrary to it sounding like a show at Chippendale’s is actually a acronym for

Remote online notarization. It’s a digital experience that mirrors the traditional notarial act. A signer appears before a notary on a video call, and together, they complete, sign, and notarize the document. Each video session is recorded and retained along with an audit trail of the transaction

Under Federal law, anyone who knowingly alters his or her own signature on any document is guilty of a Class 6 felony . This includes alteration of one’s own signature on any document whether such modification was desired in good faith or was done with nefarious intent . Theft from one’s will may also be considered altering one’s own signature on any document .

You need to register your online notary business with the Local Secretary of the Commonwealth. Note that most states require a business license for online notary services, but in most of the country this is not required.

You’ll also need to get a State Department of Motor Vehicles (DMV) ID card .
It’s important to note that some laws require any person who has been issued a driver’s license to be able to obtain an ID card. However, many people who have lost their licenses have simply forgotten about the requirement and never applied for a new one. You can still get your DMV ID card without taking any classes or paying money, but if you want your business to be legally recognized by the DMV, it will take some time. For instance, you may need to wait until October 1st after your business opens its doors before you can print official documents such as insurance and driver’s licenses on your own website.
In addition to getting official identification from your local  DMV, you will also need a website that is well-designed for your customers and is accessible on multiple devices including desktop computers and mobile phones .
